Team spaces bring collaboration into the notes sidebar: shared containers of folders and notes that sync between members, living alongside your always-private personal space. Web sharing publishes a single note at notes.openwhispr.com with the visibility you choose.

Spaces

  • Private space — every account has one; its content never leaves your device unless you move it
  • Team spaces — shared spaces inside your workspace, listed under TEAM SPACES in the sidebar with their own folders and notes
  • Drag notes between folders and spaces; the editor’s breadcrumb chip jumps to a note’s space, and the audience pill shows how many people can see it
  • Everything is local-first: the on-device database stays the source of truth, and each space syncs in the background
Team spaces require a workspace on a Business or Enterprise plan.

Creating a space

Workspace owners and admins can create spaces from the + button in the sidebar’s TEAM SPACES header (pick a name, an emoji, and initial members) or from Settings → Workspace → Teams.

Members and roles

  • Admins manage the space: members, roles, rename, and delete
  • Members read and write the space’s notes and folders
  • Workspace owners and admins have implicit admin access to every space in the workspace
  • Manage a space’s roster from its Members dialog (space menu) or Settings → Workspace → Teams; deleting a space asks you to type its name first
  • Leave a space from its Members dialog — implicit admins can’t leave, since their access comes from the workspace role

Invitations

Invite teammates from Settings → Workspace → Members: choose their workspace role and pre-select the team spaces they should join. The invitation email links to notes.openwhispr.com, where Open in OpenWhispr deep-links straight into the accept flow (on a phone, copy the link and open it on your computer). Accepting joins the workspace and the granted spaces; their content backfills in the background.

Losing access

Membership is enforced server-side on every sync. If you’re removed from a space, its synced notes are removed from your device, and any drafts that never synced are moved to your private space — with a notice explaining what happened.

Conflicts

If a teammate’s edit arrives while you have unpushed changes to the same note, a banner names who edited it and offers two choices: Refresh to take their copy, or Keep mine to push yours.

Sharing a note on the web

Personal notes can be published to notes.openwhispr.com from the editor’s Share menu with one of three visibilities:
  • Link — anyone with the link can read it
  • Domain — anyone signed in with an email on your domain
  • Invited — only people you invite by email
Rich link previews (title and snippet) are generated only for link-visibility shares; restricted notes unfurl generically so nothing leaks into chat preview caches. Team notes have no public link — their audience is the space. Sharing requires an OpenWhispr Cloud subscription; notes you’ve already shared stay manageable if your plan lapses.
